Terms of Service
In force since
The contract for the MyPIF service and its plans, between Aeternus Progressus, Lda. and each customer, whether an organisation or a consumer. Our Data Processing Agreement is part of it.
1. Who we are and what these terms cover
MyPIF is a service of Aeternus Progressus, Lda., a private limited company (sociedade por quotas) with registered office at Rua dos 3 Lagares, N.º 1, Incubadora Fablab, 6230-421 Fundão, Portugal, registered at the Conservatória do Registo Comercial de Lisboa under the single registration number 518337952, which is also its tax number (NIPC). Share capital: €2,500. EU VAT number: PT518337952. Email: geral@mypif.eu. Contact form: mypif.eu/contact.
MyPIF lets you upload your Partner Identification Form (PIF) as a PDF, have its content read by AI, edit it, generate a web page for each EU programme, and publish it by a permanent public link or share it privately with the email addresses you name. It also offers an AI quality score, version history, export to PDF and Word, and one-click copy of each field. Translation into the 24 official EU languages is being built and is not yet part of the service. The service runs in the MyPIF app at mypif.eu, or at any address that replaces it, such as app.mypif.eu.
These terms are the contract between us and you for the MyPIF service, on every plan, including Free. In them, "we", "us" and "our" mean Aeternus Progressus, Lda., and "you" means the customer.
The contract is made up of these terms, our Data Processing Agreement at mypif.eu/dpa, and your order confirmation. For the Business plan, the written quote you accept is part of it too, and prevails where it says something different. Our Privacy Policy (mypif.eu/privacy) explains how we handle personal data as a controller, and the page mypif.eu/data gives the information on data location, export formats and switching that the Data Act requires. The website mypif.eu is governed by separate Terms of Use (mypif.eu/terms).
2. Who can use MyPIF
MyPIF is open to organisations, such as companies, associations, NGOs, schools, universities, training centres, public bodies and research centres; to people acting for an organisation or in their trade or profession; and to consumers, meaning individuals acting for purposes outside any trade, business or profession.
You must be at least 18. If you accept these terms for an organisation, you confirm that you are authorised to bind it, and the organisation is the customer. When you sign up and when you order a paid plan, tell us whether you act for an organisation or as a consumer; some sections apply only to consumers and say so. "Business customer" in these terms means a customer who is not a consumer.
We offer MyPIF on the same terms to customers in every EU country.
3. Your account
You sign in to MyPIF with a Google or Microsoft account; we hold no password for you. Keep access to that account secure. Tell us at once at geral@mypif.eu if you think someone else has used your MyPIF account.
On the Teams plan, the person who takes out the subscription for the organisation decides who belongs to the team and can remove members. The organisation is responsible for how its members use MyPIF.
4. How the contract is made
Free plan. You create an account by signing in, and you accept these terms by ticking the box for them. The contract for the Free plan is concluded when your account is created.
Paid plans. In the app you choose the plan and the billing period and enter your billing details: for a business customer, the organisation's name, address and VAT number if it has one. An order summary then shows the plan, the period, the price and, for consumers, the total price including VAT. You can go back and correct any entry before you confirm. The contract for a paid plan is concluded when you confirm the order and pay.
We confirm every order by email and send you a copy of these terms in a form you can keep. We keep a copy of the terms you accepted, and you can download or print this page at any time.
The contract is available in English and Portuguese. We do not subscribe to any code of conduct.
5. Plans
The features and limits of each plan are those described on our pricing page at mypif.eu when you order. The main ones are:
| Plan | Main features | Price, excluding VAT |
|---|---|---|
| Free | 1 active PIF on the general layout. One permanent link, which cannot be changed. Shared by link only, not by email. PDF export. | Free |
| Pro | 3 active PIFs. Private sharing with the email addresses you name. A layout for each programme and version history. AI quality score, Word export, one-click copy. | €5 per month, or €50 per year |
| Teams | Pro for every member of the team, under one subscription. Minimum 2 users. | €4 per user per month, or €40 per user per year |
| Business | Everything in Pro, for consultancies working for several client organisations, as set out in a written quote. | On request |
Features that our website lists as in development are not part of any plan until we release them in the app.
6. Prices, VAT and payment
The price is the one shown on our pricing page and on the order page when you order. Prices on the pricing page exclude VAT, because most of our customers are organisations.
Business customers. VAT is added as the law requires:
- organisations established in Portugal pay Portuguese VAT;
- organisations established in another EU country that give us a valid VAT number, which we check in the EU's VIES system, pay no VAT to us: the invoice is marked "IVA – autoliquidação" (reverse charge), and you account for the VAT in your country;
- organisations in the EU without a VAT number pay VAT at the rate the law requires, which may be that of their own country;
- organisations outside the EU pay no Portuguese VAT.
Give us a correct VAT number and tell us if it changes.
Consumers. The price you pay includes VAT at the rate of the EU country where you live. Before you pay, the order page shows the total price including VAT. That total is the price you pay, with no other charges added.
Payment. Payments are processed by Stripe. Card details go to Stripe and are not stored by us in full. Each paid period is paid in advance: every month or every year, according to the billing period you chose. The Teams plan is charged per user, for at least 2 users.
Invoices. We issue invoices that comply with Portuguese law and send them by email. Every refund comes with a credit note.
Failed payments. If a payment fails, we email you. If it is still unpaid after that reminder and a reasonable time to pay, your account returns to the Free plan. Your data is kept, and the limits of the Free plan apply from then on.
7. Renewal and cancellation
Paid plans renew automatically at the end of each period, for a period of the same length, until you cancel. On a yearly plan, we email you at least 14 days before each renewal.
You can cancel at any time from the billing page of the app or by writing to geral@mypif.eu. Cancelling stops the next renewal: your plan continues until the end of the period you have paid for, and then your account returns to the Free plan and keeps its data. The period already paid is not refunded, except:
- if you cancel during a free trial (section 8): you pay nothing;
- if you are a consumer and withdraw within 14 days (section 9);
- if you are on a yearly plan and end the contract to switch to another provider or to leave (section 18): we refund the whole months of your current year that you have not used;
- where sections 10, 17, 19, 20 or 22 give you a refund.
There is no penalty for ending the contract early.
8. The 14-day free trial of Pro
You can try the Pro plan free for 14 days. Each customer can use the free trial once: once per organisation, or once per person for a consumer.
To start the trial you enter a payment card, and you choose monthly or yearly billing. Nothing is charged during the trial.
You can cancel at any time during the trial, from the billing page of the app or by writing to geral@mypif.eu. If you do, you pay nothing, and your account returns to the Free plan at the end of the trial and keeps its data.
If you do not cancel, the trial ends after 14 days, your Pro plan starts, and we charge your card for the first period you chose. It then renews as set out in section 7.
If you are a consumer, the contract is concluded when you start the trial, so your 14-day right of withdrawal (section 9) runs during the trial. The trial does not replace that right.
9. Right of withdrawal for consumers
This section applies only if you are a consumer.
Right of withdrawal. You have the right to withdraw from a contract for a paid plan within 14 days without giving any reason. The withdrawal period ends 14 days after the day the contract is concluded, which is the day you confirm your order (Decree-Law 24/2014, article 10; Directive 2011/83/EU, article 9).
How to withdraw. Tell us of your decision to withdraw by a clear statement. You can:
- use the function "Withdraw from contract here" on the billing page of the app;
- email geral@mypif.eu;
- write to Aeternus Progressus, Lda., Rua dos 3 Lagares, N.º 1, Incubadora Fablab, 6230-421 Fundão, Portugal.
You may use the model withdrawal form at the end of these terms, but you do not have to. You meet the deadline if you send your statement before the withdrawal period ends.
The withdrawal function in the app is available throughout the withdrawal period. It asks for your name, the contract you are withdrawing from and the email address to which we should send our confirmation, and you complete it with the button "Confirm withdrawal". We confirm receipt of your withdrawal by email without undue delay (Directive 2011/83/EU, article 11a, inserted by Directive (EU) 2023/2673).
Effects of withdrawal. We reimburse all payments received from you for that contract without undue delay, and at the latest within 14 days of the day we are informed of your decision to withdraw. We use the same means of payment you used, unless you expressly agree otherwise, and you pay no fees for the reimbursement. Your account returns to the Free plan and keeps its data, unless you also close it.
If the service started during the withdrawal period. A paid plan starts as soon as you pay. When you order, we ask you to confirm that you expressly request the service to start during the withdrawal period, and to acknowledge that you would lose your right of withdrawal once the contract had been fully performed. If you then withdraw, you pay us an amount in proportion to the service provided until you told us of your withdrawal, compared with the full price of the period you paid for (Decree-Law 24/2014, article 15). A subscription is not fully provided within 14 days, so starting to use it does not make you lose your right of withdrawal.
The Free plan costs nothing. You can end it at any time by closing your account.
10. Changes to the service, prices and these terms
We may change MyPIF, our prices or these terms only for a valid reason: a change in the law or in a decision of an authority, security, a change in the costs of providing the service, or a new, changed or retired feature.
We tell you by email at least 30 days before a change that affects you takes effect. A new price applies from your first renewal after that notice period. If you do not accept a change, you can cancel or end the contract, free of charge, before it takes effect, and we refund any prepaid period you have not used.
Changes that only add features, fix errors or improve security can take effect at once. So can changes that a law or an authority requires sooner; in that case we tell you as soon as we can, and you keep the right to end the contract with a refund of any unused prepaid period.
11. Your content
"Your content" means everything you or your team upload to or enter in MyPIF: the PDFs, the fields, your edits, the pages, the translations, and the names and email addresses you share with.
Your content remains yours, or your licensors'. You give us a non-exclusive licence, free of charge, to host, store, copy, process, translate, format, display and transmit your content, only to provide MyPIF to you and to the people you share it with, and only for as long as that requires, including the retrieval period in section 18. We do not sell your content, use it for any other purpose, or use it to train AI models.
The quality scores and suggestions that the AI features produce from your content are also your content, and the licence above covers them in the same way. AI output may not be protected by copyright, and similar output may be produced for other customers.
You are responsible for the content you upload, enter, publish or share. In particular, you confirm that:
- you have the right to upload, publish and share it;
- you, or your organisation, may lawfully include and share the personal data of the people named in your PIF, such as staff names, roles, contact details and CVs, and those people have been told about it;
- it contains no special categories of personal data, such as health data, beyond what a PIF genuinely needs;
- the information in your PIF is accurate when you publish it.
For the personal data in your content, you (or your organisation) are the controller, and we process it for you as your processor under our Data Processing Agreement (section 17).
12. Publishing and sharing
A PIF stays private until you publish it.
Public link. When you publish by public link, anyone who has the link can open the page. On the Free plan the link is permanent and cannot be changed.
Private sharing. On Pro, Teams and Business you can instead share a PIF with the email addresses you name. The people you name sign in with Google or Microsoft using that address, and only they can open it.
You can unpublish a PIF or remove a recipient at any time. We cannot undo what someone has already seen, copied or downloaded. Every public PIF page carries a "Report this page" link (section 15).
13. AI features
MyPIF uses Claude, an AI model made by Anthropic, through Anthropic's API, to read your PDF and extract its content, to give your PIF a quality score and to suggest improvements, and, once translation is released, to translate your PIF.
AI output can be wrong, incomplete or out of date. Check it before you publish, share or submit anything. You decide what your PIF says. The quality score is an indication of the document's quality, not a prediction of any funding decision.
Text generated by AI is labelled as AI-generated in the app and marked as such in a machine-readable way (Regulation (EU) 2024/1689, the AI Act, article 50).
Anthropic processes the content we send it as our sub-processor and does not use it to train its models. MyPIF takes no decision based solely on automated processing that has legal or similarly significant effects on you. Our Privacy Policy explains how long Anthropic keeps the data.
14. Content rules and how we moderate
MyPIF is for presenting organisations to project partners and funders. You must not use it to store, publish or share:
- content that is illegal under EU law or the law of an EU country;
- personal data you have no right to publish or share;
- content that infringes someone else's copyright, trade mark or other rights;
- malware or any code meant to harm or gain unauthorised access;
- spam, or deceptive or fraudulent content, including content that pretends to come from another organisation;
- content that does not present an organisation.
You must also not attack or test the security of MyPIF, overload it, or get around the limits of your plan.
We do not check content before it is published. We act on reports (section 15), on orders from authorities, and on what we notice while running the service. A person takes every moderation decision; we use no automated moderation tools.
When content breaks these rules, we take the measure that is proportionate, with due regard to the rights and interests of everyone involved, including freedom of expression: removing the content or disabling access to it, turning off sharing, or suspending or closing the account. We apply these rules diligently, objectively and in the same way for everyone (Regulation (EU) 2022/2065, the Digital Services Act, article 14).
15. Reporting illegal content, and our decisions
Anyone can report content on MyPIF that they believe is illegal, using the "Report this page" link on the public PIF page or by writing to geral@mypif.eu. To let us act, include:
- why you believe the content is illegal;
- the exact link to it;
- your name and email address;
- a statement that you believe in good faith that the information in your report is accurate and complete.
We confirm receipt, examine the report and decide in a timely, careful and objective way. We then tell you our decision and how you can challenge it. A person decides; we use no automated means (Digital Services Act, article 16).
If we remove or restrict your content, or suspend or close your account, we tell you at the latest when the measure takes effect: what we did and for how long; the facts it rests on, including whether it followed a report; the law or the clause of these terms we relied on; and how you can challenge it, by replying to us so that a person looks at the decision again, or before the courts (Digital Services Act, article 17).
When an authority orders us to act against illegal content or to give information, we do so and tell the authority what we did (Digital Services Act, articles 9 and 10). If we become aware of information giving rise to a suspicion that a crime threatening someone's life or safety has taken place, is taking place or is likely to take place, we inform the police or judicial authorities concerned (Digital Services Act, article 18).
16. Contact point
Our single point of contact for the authorities of the EU countries, the European Commission and the European Board for Digital Services, and for users of MyPIF (Digital Services Act, articles 11 and 12), is geral@mypif.eu, also reachable through mypif.eu/contact. You can write in English or Portuguese. A person reads and answers every message.
17. Data protection and sub-processors
For the personal data in your content, you (or your organisation) are the controller and we are your processor. Our Data Processing Agreement at mypif.eu/dpa is part of these terms and governs that processing, including security, confidentiality, breaches and international transfers. For your account, billing and use of the service, we are the controller, as our Privacy Policy at mypif.eu/privacy explains.
Your PIFs and their data are stored in Ireland. We use these providers to run MyPIF:
| Provider | What it does | Where it processes data |
|---|---|---|
| Supabase Pte. Ltd., Singapore | Database, file storage and sign-in | Stored in Ireland (Amazon Web Services, eu-west-1); support access from Singapore and the USA |
| Anthropic Ireland, Limited, Ireland, with Anthropic, PBC, USA | The AI features (section 13) | USA |
| Vercel Inc., USA | Hosting of the app and the website | Mainly the USA |
| Plus Five Five, Inc. (Resend), USA | Sending emails, such as invitations and notices | Emails sent from Ireland; logs and metadata in the USA |
| Stripe Payments Europe, Limited, Ireland, with Stripe, LLC, USA | Payments. Stripe also acts as an independent controller for fraud prevention and its own legal duties | Ireland and the USA |
| Cal.com, Inc., USA | Booking free PIF review calls. It receives nothing from your MyPIF account | USA |
The safeguards for transfers outside the EU are listed in the Data Processing Agreement and in our Privacy Policy. Google and Microsoft provide sign-in as independent controllers under their own terms; they are not our sub-processors.
We tell you by email at least 30 days before we add or replace a sub-processor. You can object. If we cannot meet your objection, you can end the contract before the change takes effect, and we refund any prepaid period you have not used.
18. Switching and leaving
You can end your contract at any time to switch to another provider, to move your data to your own systems, or to have it erased (Regulation (EU) 2023/2854, the Data Act, articles 23 to 31). The page mypif.eu/data describes where the service runs, the data structures and export formats, and our measures against unlawful access to data by governments outside the EU.
How to ask. Tell us from the account settings of the app or at geral@mypif.eu, and say whether you are moving to another provider, taking the data to your own systems, or only want your data erased.
Notice period. None: we start as soon as we receive your request. (The law allows up to 2 months.)
Transitional period. Up to 30 calendar days from your request. During it, the service keeps running, we give you reasonable help with the move, we tell you of any known risk to its continuity, and we keep the same level of security. You may extend this period once, by a length you consider more appropriate. If 30 days is technically impossible, we tell you within 14 working days, with our reasons and an alternative period of no more than 7 months, during which the service keeps running.
End of the contract. The contract ends when the switch or the export is complete, and we tell you so. If you only asked for erasure, it ends when we receive your request.
Retrieval period. After the transitional period, you have at least 30 more days to retrieve your data.
Erasure. When the retrieval period ends, or when we receive your request if you only asked for erasure, we erase all your exportable data within 30 days and confirm this to you by email. We keep only the records the law requires, such as invoices, which Portuguese tax law requires us to keep for 10 years.
Data you can take with you. The exportable data is exactly this list:
- the PDFs you uploaded, in their original format;
- the fields extracted from each PIF, and every edit you made to them;
- the versions of each PIF and of the pages generated from it, as kept in your version history;
- the translations;
- the AI quality scores and AI suggestions, each marked as generated by AI;
- the public and private pages generated for each PIF and programme;
- the sharing settings, public links and lists of recipients;
- your account, team and organisation data, including your plan and subscription history;
- the metadata of all the above, such as dates of creation and change, status and language.
Formats. Each PIF exports as PDF and as Word (.docx). All the data listed above exports as JSON, in the structure documented on mypif.eu/data. Uploaded PDFs are returned as uploaded. You can export from the app at any time during the contract, not only when you leave, or ask us at geral@mypif.eu.
Excluded. Only our own internal material is excluded, as trade secrets: the instructions (prompts), model settings and configuration we use to run the AI features. They are not your data.
Charges. There are no switching or export charges and no early-termination penalty. If you are on a yearly plan, we refund the whole months of your current year that you have not used.
19. Quality of the service
We provide MyPIF as described in these terms and on our pricing page, with reasonable care and skill. We keep interruptions for maintenance, security or reasons outside our control as short as we can.
Business customers. If a defect stops MyPIF working as described, tell us, and we fix it within a reasonable time. If we cannot, you may end the contract, and we refund any prepaid period you have not used.
Consumers. You have the legal guarantee of conformity for digital services under Decree-Law 84/2021, which transposes Directive (EU) 2019/770. We are responsible for any lack of conformity that appears while we supply the service. You can ask us to bring the service into conformity, free of charge, within a reasonable time and without significant inconvenience to you. If we do not, or if the lack of conformity is serious, you can ask for a proportionate price reduction on a paid plan, or end the contract and get back the price paid for the time the service was not in conformity.
20. Suspension and termination by us
We can end the contract for a valid reason, such as the discontinuation of MyPIF or of your plan, with at least 30 days' notice by email. We then refund any prepaid period you have not used, and section 18 applies to your data.
We can suspend your account, or end the contract at shorter notice, only:
- for a serious or repeated breach of these terms, including the content rules in section 14;
- when an authority orders us to;
- to protect the security of MyPIF, or others, from serious harm.
Where the situation allows, we warn you first and give you time to put things right, and we always tell you the reasons (section 15). An unpaid payment leads only to the return to the Free plan described in section 6.
A Free account that nobody has signed in to for 24 months may be closed. We email you 30 days before, and you keep it by signing in.
Your right to end the contract if we seriously breach it is not affected.
21. Liability
We are liable under Portuguese law for damage we cause intentionally or through gross negligence, including through our staff and subcontractors. We are also liable for harm to life, body or health, for damage outside the contract, and in every other case where the law does not allow liability to be excluded or limited.
Outside those cases:
- on the Free plan, which is free, we are not liable for damage caused by simple negligence;
- on paid plans, our total liability for simple negligence in performing the contract is limited to the amount you paid us in the 12 months before the event that caused the damage.
MyPIF helps you prepare and share your PIF. It does not promise the outcome of any partnership or funding application.
Nothing in these terms limits the rights that consumer protection law gives you as a consumer and that cannot be excluded or restricted by contract.
If you are a consumer, the limits and exclusions in this section do not apply to your remedies for a lack of conformity of the service under Decree-Law 84/2021 (section 19), or to any liability that Decree-Law 446/85 does not allow us to exclude or limit.
22. Transfer of the contract and subcontracting
We may transfer this contract to a company that takes over MyPIF only with your agreement. If you do not agree, you can end the contract, and we refund any prepaid period you have not used. You may transfer the contract to another organisation with our agreement.
We subcontract parts of the service only to the providers named in section 17, and to those we add or replace under the procedure described there.
23. Complaints and dispute resolution
You can file a complaint in the electronic complaints book (Livro de Reclamações Eletrónico) at www.livroreclamacoes.pt. We reply within 15 working days. You can also write to geral@mypif.eu; that address is our own channel, not the official complaints book.
If you are a consumer, you can take a dispute with us to the consumer arbitration centre CNIACC, Centro Nacional de Informação e Arbitragem de Conflitos de Consumo (www.cniacc.pt). For disputes worth up to €5,000, if you choose arbitration, we must take part (Law 24/96, article 14).
24. Law and courts
Portuguese law governs these terms.
Business customers. Disputes with business customers established in Portugal go to the courts that Portuguese law makes competent. For business customers established elsewhere, the courts of the comarca de Castelo Branco, Portugal, have exclusive jurisdiction. This does not affect any mandatory rule that gives you the right to sue or be sued in your own country.
Consumers. You keep the protection of the mandatory rules of the country where you live (Regulation (EC) 593/2008, article 6). If you live in another EU country, you may sue us in the courts of that country or of Portugal, and we may sue you only in the courts of the country where you live (Regulation (EU) 1215/2012, articles 17 to 19). If you live in Portugal, the courts that Portuguese law makes competent hear the dispute.
25. General
Languages. These terms are published in English and Portuguese. If the two versions differ, the Portuguese version prevails for consumers who live in Portugal, and the English version prevails in all other cases.
Notices. We write to you at the email address of your account; you write to us at geral@mypif.eu.
Validity. If a clause of these terms is found invalid, the rest of the terms continue to apply.
26. Model withdrawal form
(Complete and return this form only if you are a consumer and wish to withdraw from the contract.)
