The PIF itself
What is a Partner Identification Form?
A Partner Identification Form, or Partner Information Form, is the document that presents your organisation to a consortium applying for EU funding. It carries your legal data (legal name, OID, PIC, address and VAT number), your mission and activities, your staff and expertise, your previous EU projects, your target groups and the role you will play in the proposed project. Coordinators use it to decide who joins the consortium, and what it says goes into the application, which evaluators score under “quality of the partnership and the cooperation arrangements”.
Who needs a PIF?
Every partner in every consortium. An Erasmus+ small-scale partnership needs at least 2 organisations and a cooperation partnership at least 3, with no upper limit, and the average funded Horizon Europe collaborative project has 12 participants. Each partner sends a PIF to the coordinator. If your organisation joins projects as a partner, you will be asked for one before every application, and a weak PIF can cost you the place in the consortium.
What is the difference between an OID and a PIC?
They are two codes from two separate systems. The OID (Organisation ID) identifies your organisation in Erasmus+ actions managed by National Agencies and comes from the Organisation Registration System. The PIC (Participant Identification Code) is a nine-digit code from the Participant Register of the Funding & Tenders Portal, used for Horizon Europe, CERV and Erasmus+ actions managed by EACEA. A PIF shows each under its own label, and an organisation has only one OID.
Read the guide: OID or PICWhat should I check before I send a PIF?
Four things: identity and registration (legal name, OID, PIC, VAT number and contacts exactly as registered), capacity (a clear presentation, key people and previous EU projects with reference numbers), fit (your role, matching experience and the target groups you reach) and presentation (dated, consistent and in clear, formal English). Our free checklist sets out 18 checks, each with the official rule behind it.

Which organisations is MyPIF for?
Any organisation that takes part in EU-funded projects, whether it leads the project or joins it as a partner: associations and NGOs, schools, universities, vocational and adult training centres, youth organisations, companies and SMEs, local authorities, research centres and cultural organisations. It is made for small teams without a project office, who send a few PIFs a year and need each one current. Consultancies that prepare PIFs for many client organisations have the Business plan.
Who is MyPIF not for?
MyPIF keeps one document right: your Partner Identification Form, and the link your partners open. It does not write your project application, find partners for you or submit anything to the Funding & Tenders Portal. If you send one PIF a year, the free plan is all you need, as long as a public link suits you.
Which programmes does MyPIF support?
Erasmus+, Horizon Europe, Creative Europe, CERV, European Solidarity Corps, LIFE, Digital Europe and Interreg, or no programme at all. On Pro you choose the programme when you generate the PIF; on Free the PIF uses one general layout. Templates for the Erasmus+ actions KA1, KA210 and KA220 are in development. The document is not limited to EU programmes, either. If a consortium anywhere asks you for a partner identification form, MyPIF produces it.
Your link, day to day
How long does it take with MyPIF?
A few minutes from upload to a link you can share. You upload the PIF you already have as a PDF, MyPIF reads it, you correct what changed, pick the programme on Pro, and publish. By hand, every change means a new file for every partner.
Do my partners need an account to open my PIF?
For a public link, no. They open the address in a browser and read the current version. For a private link, yes: they sign in with the email address you named, and only those addresses can open it.
What happens when I update my PIF?
The link stays the same. You edit the fields, publish again, and everyone who has the address sees the new version the next time they open it. On Pro, earlier versions are kept in your version history.
Can I export the PIF to PDF or Word?
Yes. The current version exports to PDF on every plan, and to Word on Pro, for portals that require a file or partners who prefer one. The link stays live alongside the file, so the version online is always the one that is up to date.
Trial, paying and your data
Is there a free trial, and can I cancel?
Yes. You can try Pro free for 14 days. You enter a card to start, and nothing is charged during the trial. Cancel before it ends and you pay nothing; otherwise Pro starts and your card is charged for the first month or year. After that you can cancel at any time from the billing page or by writing to geral@mypif.eu: your plan runs to the end of the period you paid for. On a yearly plan, if you leave or switch provider early, we refund the whole months you have not used. Consumers also have a 14-day right of withdrawal, set out in the Terms of Service.
Can we pay for MyPIF from an EU project budget?
Often, yes, depending on the programme and your grant agreement. MyPIF can be invoiced to your organisation, like any other software subscription. In Erasmus+ mobility projects, organisational support can pay for the services and tools needed to run the project, and in small-scale and cooperation partnerships the lump sum can pay for project tools, as long as the planned activities are delivered. In Horizon Europe, costs from before a project starts, such as preparing proposals, are generally not eligible, and costs your organisation books as overheads cannot be claimed separately. The grant is not topped up to cover it, and we cannot guarantee eligibility, so check with your finance officer or National Agency.
Where is my data stored?
Your PIF and its data are stored at rest in Ireland, in a database run for us by Supabase. To read your PDF, MyPIF sends it to the Claude API from Anthropic, which processes it in the USA. The website and the app are hosted by Vercel. Our Privacy Policy lists every provider, the safeguards for data that leaves the EU, and what is collected, why and for how long.
